Cancellations

Different program types have different refund options.
Please find your program below for its specific cancellation and refund policy.

Learn-To-Play, Recreational Programs, Camps

(for all Indoor and Outdoor Camps, Smashball, FUNdamentals, Practice & Play, Game On! and Senior Scrimmage programs)

  1. We provide 100% reimbursement if cancellation is requested 45 days prior to the start of a camp or  program.
  2. We provide an 80% refund if cancellation is requested between 45 and 7 days before the start of a camp or program.
  3. If cancellation is requested within 7 days of a camp or program starting, we will reimburse 80% of the remaining days if we can fill your spot from the wait-list.
  4. Within 7 days of the start of a program or camp, or after it has started, we will provide an 80% refund of the remaining days if the participant cannot continue due to health or a medical issue (a doctor’s certificate may be required).
  5. If you have registered for a Learn-to-Play or Recreational program and you subsequently accept an offer to play in a competitive Maverick program, you are eligible for a 100% refund if the request is made before the start of the LTP or Rec program. Late requests will be pro-rated.

Please note: every attempt will be made to make up any sessions that may be cancelled due to circumstances out of our control such as weather, public health issues, etc., however, if Maverick Volleyball cannot make up the cancelled session, refunds will not be available.

Regional Training Centres (RTC)

Offering a position in the RTC is a commitment from the Maverick organization, and accepting the offer incurs certain responsibilities from the athlete and their family – not only to the Club and the Coach, but to the other athletes as well. Athletes are expected to attend each session and alert the coach if something interferes. 

Our refund policy takes into account that numerous costs are paid before the first practice and that a suitable replacement player is seldom readily available, which means that any child’s departure can have training repercussions for the group as a whole.  

  • Please note that no refunds will be given after being selected to a Regional Training Centre (RTC) Program and the offer has been accepted. There are three specific exceptions: if your child is asked to leave the Club for any reason other than a breach of the Athlete Code of Conduct; if your child sustains a season-ending injury during a sanctioned Club activity; or if a suitable replacement player is signed to the squad. 

If your refund request falls under one of the exceptions noted above, you will be entitled to a refund on the following conditions: 

  • Cancellation within the first 4 weeks of the program – 50% of fees paid (less the cost of any equipment/clothing assigned to athlete) 
  • Cancellation between weeks 4-6 of the program – 25% of fees paid (less the cost of any equipment/clothing assigned to athlete) 
  • Cancellation after 6 weeks of the program – No refund.

Competitive Teams

Signing the OVA Player Contract is a legal commitment and as such, brings with it certain responsibilities on both parties. Accepting a position on a Maverick team is a commitment not only to the Club and the Coach, but also to all other team members.

Our refund policy takes into account that numerous fees paid on your behalf are non-refundable; and that a suitable replacement player is seldom available, which means an increased financial burden is placed on the remaining families due to any child’s departure after a commitment has been made to the team. Please note that no refunds will be given after OVA registrations have been submitted. 

There are only three exceptions: (a) if your child is asked to leave the Club for any reason other than a breach of the Athlete Code of Conduct; (b) your child sustains a season-ending injury during a sanctioned Club activity, or (c) a suitable replacement player is signed to the team and registered with the OVA before February 1st, to defray costs to the balance of the team.

For refund requests for any of the exceptions noted above, any portion of fees that have already been consumed, or products or services purchased on your child’s behalf during your time with the club cannot be refunded. For exception (a) and (b), we will refund 100% of all remaining (refundable) fees from that date. For exception (c), we will refund 50% of remaining refundable fees from the date the new player takes over. 

Examples of non-refundable expenditures are: money already spent by the Club for things such as athlete registration, tournament registration, practice gym permits, uniforms and other team expenses, sponsorship or fundraising funds, airfare, etc.

Expense Reimbursement (competitive level teams only)

  1. Submit claim along with all receipts to the Team Treasurer for approval.
  2. Parent treasurer approves and uploads to “To be paid folder” in Dropbox with an email to accounts@maverickvolleyball.ca informing that an expense has been submitted.
  3. Treasurer ensures that the individual submitting the expense claim’s bank information has already been submitted to the Club as payments will be done by EFT. (Picture of a void cheque is preferred)
  4. Payment is processed by the Club and the supporting documents will be moved to the “Paid” folder in Dropbox.
  5. EFT payments are processed every second Wednesday for Friday payment. All expense claims should be in by Tuesday.

Weather-Related Cancellation Policy

At Maverick Volleyball, the safety of our customers, staff, and partners is our top priority. We understand that inclement weather can create unsafe driving conditions. To ensure everyone’s well-being, we have established the following weather-related cancellation policy: 

Cancellation Due to Unsafe Driving Conditions 

  • Club-Wide Cancellations 
    • In cases where weather conditions are deemed unsafe, we reserve the right to reschedule or cancel programs for the safety of all parties involved. 
    • Members will be notified promptly via [email, phone, or text message] in the event of a cancellation. 
  • Team Cancellations 
    • In cases where individual teams (Provincial and/or National) officials deem weather conditions unsafe, practices or team events may be cancelled and/or postponed by the Head Coach (or proxy) for the safety of all parties involved. 
    • Athletes and families will be notified promptly via [email, phone, or text message] in the event of a cancellation. 

Guidelines for Assessing Weather Conditions 

  • We monitor local weather reports and advisories from trusted sources such as the Environment Canada or equivalent. 
  • Factors considered include road closures, travel advisories, and the severity of weather in the region. 
  • Our goal is to be able to decide on cancelling up to 2 hours before the start of a scheduled event. 
  • In some cases, the weather and conditions may change without warning and a revised decision on cancelling may have to be made. 

Communication 

  • Your Team Manager or Program Coordinator will be the point of contact, as the Club will provide updates through these channels. 
  • We encourage customers to contact us if they have concerns about driving conditions or if weather conditions are uncertain. Our team is happy to assist in assessing the situation and advising. Please email us at info@maverickvolleyball.ca
